Project Administrator

Are you an organised and proactive administrator looking for a role where no two days are the same? Our client, a well-established landscaping and construction business, is seeking a Project Administrator to join their collaborative team based in Geebung. This is a fantastic opportunity to contribute to dynamic projects while supporting key business operations.

About the Role

As the Project Administrator, you will play a vital role in ensuring the smooth operation of day-to-day administration across multiple project sites and the head office. Reporting to the Administration Manager, you’ll liaise with Project Managers, Site Supervisors, and senior leadership, ensuring the seamless delivery of projects.

Key Responsibilities

Manage document control systems, staff inductions, and office inventory including supplies and uniforms.
• Provide administrative support to the Director, Project Manager, and Business Development Manager.
• Assist with scheduling meetings, toolbox talks, and training sessions.
• Handle site-related administrative tasks, including dockets management, supplier quantity tracking, and subcontractor invoice filing.
• Support workshop administration, including vehicle and plant registration, servicing records, fuel cards, and cost attribution.
• Contribute to safety administration: update safety registers, support HSEQ documentation, monitor inspections, and manage PPE inventory.

About You

• Prior experience in project administration or a similar administrative role, ideally in construction, landscaping, or related industries.
• Strong organisational skills with attention to detail and the ability to manage multiple priorities.
• Confident using office and project management software (e.g., document control systems, Gearbox).
• Excellent communication skills and ability to build relationships across teams and external partners.
• Proactive approach to problem-solving and continuous improvement.
